Settings & Profile

Update your name, email, and password. Manage workspace settings, team members, and invite links.

The Settings section is where you manage your personal details, your workspace, and your subscription. What you can change depends on your role.


How to Access Settings

Click Settings at the bottom of the left-hand sidebar.

Part 1 — Profile Settings

Who can use this: Everyone

Your Profile page lets you update your personal information.

How to Update Your Name or Email

  1. Go to Settings → Profile
  2. Click into the Full Name or Email Address field
  3. Update the text
  4. Click Save Changes

How to Change Your Password

  1. Go to Settings → Profile
  2. Scroll down to the Change Your Password section
  3. Type your Current Password (to verify it is you)
  4. Type your New Password
  5. Type the new password again in Confirm New Password to make sure there are no typos
  6. Click Save Changes

💡 Tip: A strong password has at least 8 characters, a capital letter, a number, and a symbol (like ! or @). Example: Sunny@2026!

⚠️ Do not share your password with anyone, including your manager or IT support. WorkRoster staff will never ask for your password.


Part 2 — Workspace Settings

Who can use this: Admins and Owners only

The Workspace page lets you update your company's details in WorkRoster.

What You Can Change

Setting What It Does
Workspace Name The name of your company or team (shown at the top of the dashboard)
Workspace Logo Upload your company logo to personalise the app

How to Update the Workspace Name

  1. Go to Settings → Workspace
  2. Update the Workspace Name field
  3. Click Save Changes

The new name appears at the top of the sidebar and on your dashboard immediately.


Part 3 — Members

Who can use this: Admins and Owners only

The Members page is where you manage who has access to your WorkRoster workspace.

Inviting a New Member

The easiest way to add someone to your workspace is using an invite link.

  1. Go to Settings → Members
  2. Click + Invite Member or copy the Invite Link
  3. Choose their role before sending: Employee, Manager, or Admin
  4. Share the link with the new person by email or message

When they click the link, they create their own account and are automatically added to your workspace with the role you chose.

💡 Tip: Invite links expire after 7 days. If the new person has not joined after a week, generate a fresh link for them.

Changing Someone's Role

  1. Find the member in the Members list
  2. Click the Change Role dropdown next to their name
  3. Select the new role (Employee / Manager / Admin)
  4. The change takes effect immediately

⚠️ Be careful changing roles to Admin. Admins have full access to all data, billing, and settings. Only assign this role to people who need it.

Removing a Member

  1. Find the member in the Members list
  2. Click Remove Member
  3. Confirm in the dialogue

ℹ️ Removing a member does not delete their historical data. Their timesheets and leave records remain in the system for reporting purposes. They simply lose access to sign in.

Frequently Asked Questions

Q: I changed my email but cannot log in with it. Wait a moment and try again — the change may take a few seconds. If you still cannot log in, try the Forgot Password flow using your new email address.

Q: Can employees change their own passwords? Yes — every user can update their password in Settings → Profile.

Q: Can I see who was invited but hasn't joined yet? Pending invitations are shown at the bottom of the Members page with the status "Pending". You can re-send or cancel these invites.

Q: I accidentally removed a member. Can I re-add them? Yes — invite them again using the Invite Member feature. Their historical data was preserved and will reconnect to their account when they rejoin.
