Getting Started

Create your account, sign in for the first time, reset your password, and understand what your role allows you to do.

Welcome to WorkRoster — the simple way to track your working hours and manage time off. You don't need to be a computer expert to use this guide. We'll walk you through everything, one small step at a time.


What Is WorkRoster?

WorkRoster is your team's digital hub for:

  • Logging work hours — record when you started and finished each day
  • Requesting time off — submit leave requests and track your remaining balance
  • Approvals — managers review and approve timesheets and leave
  • Reports — admins can produce payroll summaries and project hours

Think of it as your digital timesheet folder — always available, never lost.


Before You Begin — What You Will Need

You will need Details
A computer, tablet, or phone WorkRoster works on any modern web browser
An internet connection Required to sign in and save your entries
Your work email address This is your username
A password You will create this when you sign up

💡 Tip: WorkRoster works best on a laptop or desktop computer. On a phone, turn your screen to landscape (sideways) for the best experience.


Step 1 — Create Your Account

If your employer has invited you to WorkRoster, look for an invitation email in your inbox. Click the link in that email — your account will be set up automatically.

If there is no invitation email, follow these steps:

How to sign up:

  1. Go to your company's WorkRoster website (your manager will give you the link)
  2. Click Sign Up at the top of the page
  3. Type your Full Name — first and last name
  4. Type your Work Email Address — this is how you will log in
  5. Choose a Password — see the rules below
  6. Click Create Account

Password rules — your password must have:

  • At least 8 characters
  • At least one CAPITAL letter
  • At least one number (0–9)
  • At least one symbol (like ! @ # $ %)

Good password example: Coffee@2024!Weak password: password123 (too common — do not use this)


Step 2 — Wait for Account Activation

After registering, your account needs to be activated by your Administrator.

You sign up → Admin activates your account → You can log in
     ↓                    ↓                        ↓
  (done)          (usually 1–2 days)           (you're in!)

⚠️ Important: You cannot log in until your Administrator activates your account. If you have been waiting more than two working days, contact your manager or Administrator and ask them to activate your account.


Step 3 — Sign In

Once your account is active, you can sign in at any time.

  1. Go to your WorkRoster website
  2. Type your email address
  3. Type your password
  4. Click Sign In

You will be taken straight to your Dashboard — the main screen.

💡 Tip: Tick "Remember me" if you use a personal computer that only you use. Do not tick this on a shared or public computer.


Step 4 — What to Do if You Forget Your Password

Forgotten passwords happen to everyone! Here is how to reset yours in a few minutes:

Detailed steps:

  1. On the Sign In page, click "Forgot your password?"
  2. Type your email address and click Send Reset Link
  3. Check your email inbox — you will receive an email from WorkRoster within a few minutes
  4. Click the Reset My Password button in that email
  5. Type your new password twice to confirm it
  6. Click Save New Password
  7. Sign in with your new password

⚠️ The reset link expires after 1 hour. If you do not click it in time, just go back to the Forgot Password page and request a new link.

💡 Can't find the email? Check your Spam or Junk folder. The email comes from hello@workroster.net.


Step 5 — Understanding Your Role

Every person in WorkRoster has a Role that controls what they can see and do.

💡 Not sure what role you have? After signing in, look at the left-hand sidebar. If you can see Employees and Settings, you are an Admin. If you can see Approvals, you are at least a Manager.

After signing in, you land on your Dashboard. Here is what it shows:

The numbers on the coloured cards are live — they update automatically when timesheets are submitted or approved.


Tips for Getting Started

💡 Tip 1 — Bookmark the page: Once you have signed in, save the page as a bookmark in your browser. This means you can always find WorkRoster quickly.

💡 Tip 2 — Log hours daily: It takes less than 2 minutes to log your hours at the end of each day. Waiting until the end of the week makes it harder to remember exact times.

💡 Tip 3 — Use the sidebar: Everything in WorkRoster is in the left-hand menu. Click any item to go straight to that section.

💡 Tip 4 — Green means good: Throughout WorkRoster, green badges mean "approved" or "active". Amber/orange means "waiting for review". Red means "needs attention".
