Part 1 — Viewing Your Current Plan

  1. Go to Settings → Billing
  2. Your current plan, team size, and next payment date are shown at the top

Part 2 — Upgrading Your Plan

If your team grows and you need to move to a higher tier:

  1. Go to Settings → Billing
  2. Click Upgrade Plan
  3. Select the new plan
  4. Confirm the change

✅ Upgrades take effect immediately. Your new pricing applies from the next billing cycle.


Part 3 — How Billing Works

Monthly billing: You are charged once a month on your renewal date.

Metered billing (Growth & Enterprise): Your charge is based on the number of active team members at the time of billing.

  • If you add a new person mid-month, they count toward the NEXT month's bill
  • If you remove a person mid-month, the saving takes effect on the next bill

Flat billing (Starter): You pay the same $4.99 no matter how many people you have (up to 5).

Free tier: No payment needed. Limited to 1 person.


Part 4 — Managing Payment Details

To update your credit card or payment method:

  1. Go to Settings → Billing
  2. Click Manage Payment Details
  3. You will be taken to a secure Stripe payment page
  4. Update your card details and save

🔒 Your payment details are handled by Stripe, a leading global payment provider. WorkRoster never stores your card number directly — Stripe handles all payment security.


Part 5 — What Happens if Payment Fails?

If your payment fails (e.g. card expired):

Payment fails
     ↓
WorkRoster sends you a payment reminder email
     ↓
You update your payment details
     ↓
Payment is retried automatically
     ↓
Subscription continues as normal

If payment is not resolved after a few attempts, your subscription status may change to Past Due and some features may be limited until payment is made.

💡 Tip: Keep your billing email address up to date so you receive payment reminders. Update it in Settings → Profile.


Part 6 — Cancelling Your Subscription

If you need to cancel:

  1. Go to Settings → Billing
  2. Click Cancel Subscription
  3. Confirm the cancellation

What happens when you cancel:

  • Your subscription remains active until the end of the current billing period (you are not charged again)
  • After that, your workspace moves to the FREE tier (1 person only)
  • All your data (timesheets, leave, reports) is preserved and remains accessible
  • You can reactivate at any time by upgrading again

ℹ️ No refunds for partial months. If you cancel mid-month, you continue to have full access until the billing period ends.

Frequently Asked Questions

Q: I added a new employee — will I be charged immediately? No. New employees count toward the next monthly bill, not the current one. You can add staff with confidence.

Q: I removed an employee. Will I get a refund? No — billing is monthly and adjustments are applied on the next cycle.

Q: What happens if I go over my plan limit? WorkRoster will prompt you to upgrade before you can add more team members beyond your plan's limit. You will not be charged without confirmation.

Q: Can I switch from monthly to annual billing? Annual billing is coming in a future update. Currently, all plans are billed monthly.

Q: I am a solo freelancer. Is the FREE plan really free forever? Yes — the FREE plan is always free for one person. There is no trial period or credit card required.
